CIVIL DEPUTY/ADMINISTRATIVE ASSISTANT

Salary Range: $17.36 – $23.23 DOE
Position Concept: The Civil Deputy/Administrative Assistant is a non-commissioned position appointed by the Sheriff at his discretion. The Civil Deputy/Administrative Assistant to the Sheriff assists in productive and efficient management of the office. The member performs administrative, operations, public relations and clerical duties and tasks specific to the position. The position of Civil Deputy/Administrative Assistant requires exercise of discretion, independent judgment and independent thought.
The most important and essential job function of the position is attitude, which includes the following: interacting positively and cooperating with co-workers, responding politely and in a calm, respectful manner with the public, working as a team member, functioning under intense time pressure and responding in a positive manner to supervision.
The Civil Deputy/Administrative Assistant to the Sheriff may perform other duties and tasks as assigned by the Sheriff as required and shall have the physical, mental and emotional abilities to perform the essential job duties of the position.
Essential Job Duties:
- Greet and escort visitors
- Maintain contact with entities
- Brief the Sheriff about incidents
- Process Record Requests
- Conduct and maintain Sex Offender Registrations
- Maintain files
- Disseminate information
- Brief the Sheriff about incidents
- Perform Civil Process and Concealed Handgun Licenses
- Receive citizen complaints
- Process County Burn Permits
- Compose correspondence or memoranda
- Fingerprinting
- Attend conferences
- Assist the Sheriff with Oath of Office
- Ability to testify confidently in court
- Attend staff meetings
- Prepare awards and ceremonies
- Schedule conference room for meetings and coordinate meetings and information
- Schedule appointments
- Assist in the jail with dress downs and UA’s
- Make travel and flight arrangements
- Assist in 911 dispatch when directed by the Sheriff
- Any other duties, as assigned by the Sheriff
Chain of Command: The Civil Deputy/Administrative Assistant reports directly to the Sheriff or his designee.
Qualifications:
- High School Diploma or GED
- Prefer supplemental course work in clerical and secretarial field
Special Requirements: Minimum of four (4) years’ experience as an Executive Secretary or the equivalent skills and knowledge. Demonstrates a proficiency of keyboarding 60 wpm with no more than 10 errors. Has a valid CPR/First Aid Certification. Requires a valid Oregon State driver’s license.
